In November, thousands of attraction operators will walk the show floor at IAAPA Expo in Orlando looking for solutions to problems they've been solving manually for years. Group sales is near the top of the list.

Birthday parties, corporate events, and buyouts represent some of the highest-value bookings an FEC can secure. They also represent some of the most operationally messy. The demand is there. The interest is there. What keeps falling apart is everything that happens between the first inquiry and a confirmed booking.

Our FEC Track Session: The Event Sales Gap

On Thursday, November 19 at 11:05am, our CEO and co-founder, Mark Ghermezian, is leading a 20-minute session in the FEC track at IAAPA Expo 2026 (here’s a link to add it to your schedule).

The session is called "The Event Sales Gap: Why Your Best Salesperson Can't Save Your Group Business (And What Can)," and the title is intentional. Most operators we talk to frame their group sales challenges as a people problem. Not enough headcount. The wrong hire. The coordinator who moved on. The operators who are best at it have someone on their team who genuinely cares about getting the booking right, and that matters.But the real issue is that no single person, no matter how good, works 24/7, can cover every channel, and follows up on every lead without something falling through.

 Across multi-location FECs, corporate attractions, and growing regional operators, the pattern is consistent: there is more interest coming in than the current setup can handle, and conversion numbers reflect a process that was never designed for that volume. 

The event sales gap isn’t a staffing problem. The real opportunity lies in the process, the systems, and the always-on funnel that keeps running when no one is in the office.

Why the Problem Is Structural, Not Personal

Here's the shape of it at most venues.

Group sales sits with one event coordinator, maybe two. They handle inbound inquiries, check availability, answer questions about catering and capacity, coordinate vendors, write up contracts, chase deposits, and follow up on cold leads. On a good week, they do all of this well. On a busy one, leads that arrive after 5pm sit until morning. Inquiries that came in on Friday get answered Monday. Follow-up happens whenever there's time.

The coordinator isn't dropping the ball. The system is just carrying more than any one person was designed to manage. And as group sales grow (which it does at every venue that invests in it), the gap between inquiry volume and team capacity just gets wider.

Response speed is the single largest driver of lead conversion in event sales. The window closes fast. Every lead that sits in an inbox overnight is a booking that's already moving toward someone else.

What AI Can Actually Do Across the Event Sales Lifecycle

The conversation around AI and event sales has been murkier than it needs to be. Most operators have seen one version of it: a chatbot that handles FAQs, routes to a human for anything real, and gets abandoned after a few months when no one has time to keep it updated.

That's not what we're talking about in this session.

The shift happening now is from AI that supports the work to AI that performs it: from inquiry responses to qualification, availability checks to vendor coordination, and all the follow-up across channels along the way. These aren't tasks that require judgment, but they do require speed, consistency, and availability that a single coordinator can't maintain at volume.

An AI agent that qualifies a corporate event lead at 9pm, responds in under a minute, checks availability across three rooms, and sends a proposal takes on the operational layer that shouldn't require your coordinator's attention. What's left for your Event Sales Manager is the work that can’t get done without them.

In the session, we'll draw on real conversations with multi-location venue operators to show how AI agents are being deployed across the full event sales lifecycle: from inbound qualification and multi-channel engagement through day-of coordination, vendor communication, and post-event follow-up. How experience venues grow event revenue without growing headcount is the outcome; the session explains the mechanism.

Getting the AI/Human Handoff Right

Getting the handoff right is probably the most consequential operational decision an operator makes when building this kind of system.

The framework we use separates intelligence work from judgment work.

Intelligence work is everything that runs on pattern and process: routing inquiries, answering questions, confirming logistics, sending follow-ups, flagging when something falls outside set parameters. This is where the agent works. It runs fast, at scale, around the clock, without gaps.

Judgment work is different. Deciding whether to personally pursue a corporate prospect who's gone quiet. Offering a discount on a large buyout. Building a relationship with a repeat group coordinator who's considering a competitor. These moments belong to your Event Sales Manager.

What is the event sales gap?

The event sales gap is the difference between the group sales inquiries a venue generates and the ones it actually converts. It's not a marketing problem. Most venues we talk to have more interest than their sales process can handle. The gap comes from slow response times, after-hours coverage failures, missed upsells, and no follow-up system for leads that go cold. What happens to birthday leads that come in after 5pm goes deeper on one piece of this.
